WhatsApp Marketing Launch Guide

A good first WhatsApp campaign helps a specific customer do something useful. Start with a restock request, an appointment invitation or a product question you can answer well. Design the audience, message and destination together, then measure whether the customer completes the action.

Write a campaign brief you can test

Choose a customer need and a result before choosing the creative. “Sell more” is too broad to explain what should happen after someone taps the message. A useful brief names the audience, the promise, the next step and the person responsible for replies.

Use this brief to check the landing page as well as the message. An ad about one product should open that product or the matching conversation. Carry campaign parameters through the link and checkout where supported, without putting personal information in URLs.

Choose an eligible starting audience

A customer record, a past purchase and permission to market on WhatsApp are different things. Start with people whose recorded permission and preferences cover the proposed message. Apply exclusions for opt-outs, completed purchases, unavailable products and other relevant campaign activity.

Use customer context to make the message useful: requested product, preferred language, local time and recent activity. Check the data again before sending. Someone who bought after entering an abandoned-cart audience should leave that journey.

For acquisition, offer a clear invitation on your website, in a suitable existing channel or in a customer conversation. Explain the business and the messages the person is choosing. Connect the right business account and number

Connect the WhatsApp Business Account and number you intend to use. Confirm who owns them, who can administer them and whether you are connecting a new number, migrating a number or using an eligible coexistence arrangement. These choices affect the setup path.

Business verification, display-name review, a verified business badge and messaging eligibility have different purposes. A badge is not a universal prerequisite for API access. Check the account’s actual state and requirements in the connection flow rather than assuming that one approval completes the others.

Build and review the template

Use an approved template to contact a customer outside the service window. Within an open customer service window, eligible free-form replies can continue the conversation. The window runs from the customer’s latest message; sending another business message does not extend it.

For a campaign template, make the reason for contacting the customer clear, choose an honest category and give the next action a specific label. Promotional content belongs in the marketing category. Template approval does not replace recipient permission or guarantee delivery.

Prepare the variables, representative samples, media and required languages before review. Confirm the approved version belongs to the connected account you will send from. Decide what happens when a recipient’s language or personalization value is missing: use an appropriate configured fallback or stop that send. Avoid silently sending a mismatched offer.

Make the response worth the tap

A link can open a product page, booking page or checkout. A reply can start a conversation with your team or an AI agent. A native WhatsApp Flow can collect structured choices inside the chat. Choose the interaction that makes the customer’s task easier.

Assign responsibility for replies before the campaign starts. Give an AI agent approved knowledge, permitted actions and a route to a person. Define how the team handles unavailable stock, an expired offer or an answer the agent cannot provide. A submitted form should lead to a confirmed business result or a clear explanation of what happens next.

Check the whole journey before release

Run a controlled test with authorized recipients and representative data. Open the message on a phone, follow each action and confirm the receiving team can respond.

  • Check the sender, language, personalization and final approved content.
  • Open links through redirects and confirm that the advertised product or offer remains visible.
  • Test opt-out handling and removal from later campaign steps.
  • Exercise the successful path and an unavailable product or failed booking.
  • Confirm that delivery, reads where available, replies, clicks and business outcomes remain distinct events.
  • Check the applicable published rates and campaign budget, including staff or AI handling where relevant.

Launch, reconcile and improve

Begin with an audience size that your account and response team can support. Watch delivery failures, template quality and customer feedback before expanding. Pause an unsuitable message and correct its audience or promise.

In WhatsApp analytics, separate accepted messages from delivered messages, read receipts and completed purchases. A read receipt can be unavailable; a missing receipt does not establish that nobody read the message. Reconcile orders or bookings with the system that confirms them, using a defined attribution window and deduplication rule.
