Practical AI Tactics for Email, SMS and WhatsApp

Use AI where it helps your team make a better campaign or helps a customer complete a task. Start with an approved brief, trustworthy facts and a clear success measure. Then evaluate the result in the channel where the customer will experience it.

There are two different jobs here: helping the marketing team create and analyze work, and responding to customers through an AI agent. They can share useful context, but need different permissions and evaluation.

Give AI a brief it can use

Include the audience, customer need, product facts, actual offer, required terms, destination and brand examples. State which information must remain unchanged. A vague request to “make this convert” encourages confident copy without giving the model a factual basis.

An illustrative creative instruction is: “Draft two versions of this approved restock message. Keep the product, availability statement and destination unchanged. One version should emphasize the requested item; the other should emphasize the option to ask about sizing. Flag missing information instead of inventing it.”

Review the generated content against the original brief before using it. A fluent answer can still misstate a condition or change the promise.

Develop useful creative variants

Ask for variations that test a real hypothesis: a clearer action label, a different explanation of value or a more focused product image. Keep the offer and eligibility consistent enough that the results can be interpreted.

Adapt the same brief to each channel. Email can hold more supporting detail. SMS needs careful length and encoding checks. WhatsApp can use a suitable template, reply action or native form. AI should work within those requirements rather than inventing a format.

Check copy and visual accuracy

AI can help identify unclear wording, inconsistent terminology and missing information. Ask it to explain proposed edits so the reviewer can see whether a change alters the meaning.

For visuals, provide real product references and brand guidance. Inspect the result for altered packaging, invented product features, unreadable text and misleading scale. Keep essential terms in accessible text and test the final image crop on the actual device surface.

Generated creative is a draft. Product claims, offer terms and approved template content still require the ordinary business review. A model’s confidence is not evidence that the claim is true.

Turn a campaign idea into an explicit journey

AI can help outline a sequence from entry event to customer outcome. Ask it to identify the required data, eligibility check, action and exit at each step. Then build the accepted journey through the system that owns execution.

For a requested restock, the sequence might be: check active request, confirm current availability, select the approved language, send the appropriate message, handle the response and stop after a confirmed purchase or cancellation.

Journey automation decides when to act. A native WhatsApp Flow collects structured information within a chat. Keep these roles clear; a generated diagram does not by itself create an operating workflow.

Help customers with grounded answers and actions

A WhatsApp AI agent can answer from approved knowledge and use permitted business actions. Start with a bounded task such as product advice or appointment assistance, then test representative questions and exceptions.

Separate reading information from changing a business record. The order system confirms a purchase, the booking system confirms availability and the relevant action controls govern changes. Give the agent enough context to help without granting unrelated access.

Design a clear handoff to a person. Include the customer’s request and useful attempted actions so the team can continue. Evaluate wrong answers, unsupported claims and incomplete handoffs alongside completed conversations.

Analyze campaigns with reproducible definitions

AI can help summarize data, identify unusual patterns and propose questions to investigate. Provide the metric definitions, observation window and source of each field. Ask it to keep missing values distinct from zero and to state assumptions.

Verify calculations in a reproducible analysis. Check totals, unique-recipient counts and conversion deduplication before accepting a ranking. A model may group unlike metrics or infer causation from a correlation if the question does not define the comparison.

For example, ask which campaigns had the lowest cost per confirmed order under the same cost definition. Avoid asking for the “best campaign” when the table mixes awareness, service and sales outcomes.

Personalize with appropriate information

Use relevant preferences and business facts, such as a requested product, selected language or confirmed purchase. Preserve the source and meaning of those inputs. AI should not infer broad permission from a recent click or invent a customer’s needs from a demographic label.

Define behavior when data is missing or old. A model can phrase an available alternative, but it should not manufacture stock, a discount or an appointment. Check current business state before an action is executed.

Test the experience customers and operators actually use. A good draft does not prove delivery, and a successful conversation does not prove a confirmed business action.

Measure improvement beyond output volume

Track useful outcomes such as reduced editing time, fewer content errors, correctly resolved requests and incremental campaign contribution. Include review time and exception handling. Producing more variants is valuable when it improves the decision or customer experience.
