How to Write Effective WhatsApp Templates

A useful WhatsApp template explains why you are contacting someone and makes the next action easy. The customer should recognize the request, offer or update without opening a second page to understand it. The destination should deliver the same promise.

Use Bird’s WhatsApp templates to author content, prepare language variants and follow approval status. Treat the template as part of a customer journey: the audience, reply handling and destination matter as much as the words.

Decide whether you need a template

An approved template lets a business start or resume an eligible conversation outside the customer service window. Within the window opened by the customer’s latest message, eligible free-form replies can continue the exchange. Approval is required for the template, but does not itself establish recipient permission or guarantee a successful send.

Write the message around one customer action

Start with the reason the customer would care. For a requested restock, name the item and the requested variant. For a delivery update, identify the order and explain the change. For a promotion, state the actual offer and the relevant terms.

These are creative examples, not approved templates. Replace sample details with accurate business data, submit the actual content for review and test the approved version.

Choose an honest category

Template categories describe the purpose of the message. A promotional addition can change how a message is classified, even when the opening refers to an order.

  • Marketing: offers, product discovery and promotional engagement.
  • Utility: specific non-promotional information connected to an agreed transaction or customer request, subject to Meta’s classification.
  • Authentication: verification codes and the prescribed authentication experience.

Review the category actually applied to each approved language version. Do not forecast cost from your original category selection alone. The published pricing page and template guidelines are the next references for commercial and format details.

Give personalization a reliable data source

A variable is useful when it makes the message clearer. Product names, appointment details and relevant preferences are often more valuable than repeatedly inserting a first name.

For each value, identify the source and the missing-data behavior. Check inventory before claiming availability, the booking system before confirming a time and the order record before reporting fulfillment. A generated sentence should not invent any of those facts.

Keep an approved generic alternative when it genuinely preserves the message’s meaning. Otherwise skip the affected recipient and make the failure visible to the operator. Preview long names, unusual characters and missing optional fields so the template still reads naturally.

Prepare languages and representative samples

Write and review the actual language variants your audience needs. Check meaning, offer terms, dates and button labels with the same care as the original. Avoid using language as a proxy for a customer’s location or consent.

Supply the samples required for variables and media so reviewers can understand the intended message. At send time, confirm the selected language is approved and belongs to the connected account. Choose media and buttons for the task

Use an image when seeing the product helps someone decide. Use video when a short demonstration is useful. Check the supported format and size for the actual template component; support for a service message format does not imply support in a template header.

Keep the key information in readable text as well as the visual. Inspect the crop on a phone and avoid putting essential offer terms into tiny artwork. A carousel is useful for a small, coherent choice, rather than an excuse to include the entire catalog.

Name buttons after their action, such as “View item,” “Choose a time” or “Ask about sizing.” A URL button opens a destination; a reply button sends an interaction back to the conversation. A native WhatsApp Flow can collect a structured selection. Confirm the selected format is supported and approved for the account and template you use.

Review approval and delivery separately

Submit early enough to correct a rejection. Check the returned reason, revise the actual issue and inspect the new approved version. A template can later change status, so a historical approval is insufficient evidence for a new campaign.

Before launch, send a controlled test to authorized recipients. Verify account ownership, resolved variables, language, media and each action. Follow the message through delivery events; an accepted send is not a delivered message.

Assign an owner for replies. If the button promises help, the customer should reach an AI agent with appropriate knowledge or a team that can continue the conversation.

Improve the complete journey

Measure unique clicks and replies separately from read receipts and confirmed conversions. Test a meaningful difference, such as a product image or a clearer action label, with a stable audience and offer. Use the measurement guide to define the denominator and observation period.

Can I use promotional language?

Yes, in a suitable marketing template that meets the applicable requirements. Calling a promotion a utility update does not make it one.

Does approval guarantee that a campaign is compliant?

No. The audience, permission, actual variable values and way the message is used still matter. Review the send as a whole.

Can AI write the template?

AI can draft and adapt copy from an approved brief. Review the facts, language, category and destination before submitting or sending it.
